Scenario: It's 9:05am. The founder isn't available. A sales rep messages that he can't find the campaign he's supposed to work on today.
What I would do
- Reply straight away so he knows I'm on it: "On it, give me 2 minutes." Every minute he can't dial is lost calling time.
- Check his work plan from yesterday to confirm exactly which campaign he should be on.
- Open the dialer with my admin view and look at that campaign:
- Does it exist and is it active, or still paused or in draft?
- Is he assigned to it as a user?
- Does it have contacts loaded, or did the list not import?
- Fix it if I can: activate it, add him to it, or re-import the list, then ask him to refresh and confirm he can see it and dial.
- If it can't be fixed quickly (for example, the list is missing), I give him the next campaign from his plan or a redial campaign that doesn't overlap with contacts already spoken to, so he's calling within minutes, not waiting.
- Check the other reps in case it's not just him. If the whole setup failed, I fix it for everyone before more people get stuck.
- Tell the founder in one short message when they're back: what happened, what I did, and that it's resolved. No action needed from them.
- Stop it happening again: find the cause (not assigned, not activated, list not loaded) and add a quick check to my end-of-day routine so every rep's next-day campaign is live and assigned before they log on.
If I hit something I've never seen in the dialer, I'd check the help docs or use Claude to troubleshoot rather than leave the rep waiting. The only thing I'd hold off on is anything that changes a client's campaign settings or messaging. That's where I'd check with the founder first.
